  1. Put more options under permissions

    I have a staff member who I want to be able to complete all the same tasks as I can as the Studio Admin, it would be so great if I didn't have to log into my studiohelper account every time I give her a task to complete. Of course, it makes sense to have the Studio Admin as the only one able to change billing information, but I imagine a lot of studio owners have an office manager who should have most of the same permissions as the Studio Admin. I don't like that I am the only one…

    under permissions….who can edit, delete is available for staff and teachers. You can click staff and your assistant will be able to do this. If she is having trouble then she needs to clear cache since you said she could do it before. There are many permissions available and staff can usually do everything admin can except the financial aspect only for admins. Otherwise you can always share your log in with her if you feel comfortable doing that.

  2. Calendar Syncing with Google Cal etc.

    It would be such a great feature to have the option for each teacher to sync their teaching calendar with Google Calendars (or iCal, etc.) so that they have their calendar locally, updated live.

    You can already do this. When in the calendar view on the far right above the mini calendar is a sync. Use that and you can synch your calendar to google.

  3. Change recurring event setup to skip over studio closures

    The calendar rejects new events that are recurring if at some point they fall on a studio closure date. Change it so that you can still create the event while skipping over the studio closure.

    when we made this feature we tried that and could not come to a good resolution for that. For now you have to create an event up to a closure date and then create again after the closure date.

  4. Have parents link in the grey calendar dialogue box

    When you click on an event, it lists the details in the grey dialogue box. It lists the teacher with a link to the teacher profile, the student with a link to the student profile and it also needs (if they are a child) the parent name a link to their profile. At the moment, if I'm working from the calendar and I need parent details, I have to click through the student profile and then again to the parent profile. This is pretty cumbersome.     There is very little room in the grey box, therefore we can only list a few pertinent things. It is actually only two clicks to get to the parent…click the student, which brings you to their profile, and then to the right it lists the parent, which is clickable. That’s only two clicks to get where you need to go.

  5. Allow a way to allocate a single lesson to a different/fill in teacher

    It would be helpful to be able to allocate a different teacher to a single lesson. Ie.. when I have a teacher away sick/touring and another of my staff fills in, it would be helpful to be able to click a button from the grey calendar dialogue button to 'change teacher for this event' as a one off. This would allow me to more easily run payroll and for the teachers to see that lesson on their own calendar (if they're the one filling in).

    We just finished this feature but it is not in the grey box. If you go into the event itself, you will be able to change the teacher or add a teacher. Just be sure if changing a teacher that the students have a registration package with the new teachers name. It will then show up in the new teacher’s profile. Hope this helps. :)

  6. Assign Individual Teachers Different Colors in Calendar

    Would it be possible to allow multiple teachers to have different colors or shades in the calendar? It can be very difficult to se whose student is whose on a day when we have multiple teachers teaching at the same time. Assigning individual teachers their own color would enable administrators to more easily see gaps and schedule new students. Thanks!

    You can already do this by assigning the teacher name to the category list. Choose category, enter new category as the teacher name and choose a color. The next time you enter an event or edit an event choose the category of the teacher name and it will show that color on the calendar.

  7. list actual phone numbers on the People List

    When I pull up People List and check the option to display the phone, I get " usefamily" instead of an actual phone number. Please display the Family Phone!

    The people list will show phone numbers. However I just saw the same thing on some phone numbers, not all. This is a bug that needs to be reported. I’m declining this as not everything is to be put into suggestions. Please contact support for this issue and note that support is available 24/7 for an questions you may have or possible bugs.

  8. create a Statement List similar to the Invoice and Payment lists

    I send statements to clients after they have made payments on invoices because the statements contain more and better info than either the Invoice or Payment forms. However, there is no Statement list so there is no record of when the statements were sent. Ideally there should be a master list in the system of when clients received invoices, statements, emails, etc. -- any correspondence between our studio and the client should be documented.

    You have the invoice list that will state the last date an invoice was sent…..these invoices stay in a list…you also have email history for mass emails. We are working on an email history for the profiles but is not finished yet. Please note we are not an email client. The statements do not have a list as they are generated with different criteria (months) as you need them. You can print or save the statement to pdf and then upload that particular statement to the student/parent profile in the documents tab.

  9. create option for caps on registrations, based on package

    We have problems with over-enrollment in classes because there are no caps available during the registration process. Since students are choosing a package when they register, why can't caps be utilized during registration rather than waiting for the enrollment step?

    We do have cap limit on the enrollment form for active students. If you are referring to the remote registration on a separate website, that would be limiting the number of students who are interested in your studio. There will not be a cap on the remote registration. That would be up to you to organize the new students into acceptable classes.

  10. Add the ability to upload a receipt when adding a new Expense

    It would be great to add an upload field to the Expense form so that we can scan & attach receipts, invoices & remittance notices!

    We just added a document tab to your profiles where you can upload items such as receipts to that area.

  11. add Studio Admin as a possible Task Assignee

    I'd like to use Tasks as my own personal To-Do list, but I only have the option to assign tasks to other people. Wouldn't it make more sense if I could house all internal operations, even my To-Do list, inside my Studio Portal?

    You can already assign tasks to admin. I encourage you to view the video tutorials in the help pages in the upper left screen or on youtube/studiohelper. Also please contact support for questions like this so we can help you before you put in a suggestion as studio helper can do many things and some things can get overlooked.

  12. Add user logo to interface.

    Studio Logo has been uploaded in Studio Settings, but is not displayed on the top left in the user interface. Please correct.

  13. allow editing the color on events after they have already been made.

    When creating events, you are given the option of color coding but after it is created and you go in to edit the event, color option is no longer available. This is inconvenient and illogical not to have. Please consider.

    You can change the color of the category and/or the location. Go to the calendar tab and down to category or location and edit from there. If you can’t see the color tab and not able to change the colors you just need to clear your cache and cookies from your browser.

  14. Add "Overdue Invoices" figure

    Add the value of Overdue Invoices in the "In My Studio" area on the Dashboard.

    Outstanding Invoices value is good to have, but the Overdue figure is more vital to keep track of.

    Invoices do not show past due balances. For a past due balance, please use the statement. It is found in the “money” tab and scroll down to statements. Here you select the family and a date criteria that can span across several months so you can see what is outstanding. You can also email this to the family.

  15. Keep lesson notes formatting in the Lessons Taught report

    Being able to see a history of lesson notes for a specific student gives an overview of what we've been working on. Currently, this is available in the Lessons Taught report.

    However, because all formatting of lesson notes is lost in this report, it makes it very difficult to use the information. Please keep the formatting on the report as it is entered (line breaks, especially) into lesson notes.

    This is one of the few things that makes keeping lesson notes in the computer more useful than keeping them by hand. Please consider making the change!

    We cannot keep line breaks into the lessons taught report due to character count. You have lesson notes in the student profile you can use that the student cannot see. It does not show up in their log in. And, if it is something you do want the student to see, simply enter the note into the attendance page by going to calendar>attendance, find the student, enter the note and mark attendance and click send notes to student. The history will be on the lessons taught report but will not be formatted. The notes section within an event is open discussion between the student/s, the teacher and admin

  16. Add Negative Balance Back to Invoicing

    Until very recently when an invoice was updated at the end of a month a negative balance was created in the owed line of the invoicing summary page. Now the summary page simply shows zero due rather than a regular number. This means that money effectively disappears in the system at least from a visual perspective.

    Please fix the invoicing feature so that when invoices are updated at the end of a month to reflect the actual lessons attended vs those cancelled if a parent has a credit remaining from payment this will show on the invoice.

    SH is doing away with the negative balance on invoices. We do have a new feature of credit remaining on invoices if they have been overpaid. We will work on making sure that a cancelled lesson will now show up as a credit as well.

  17. allow access to attendance notes and have a special place where we can view them

    When taking attendance, I list who attended or didn't attend their lesson and the reason. Sometimes I include notes about when the parent called to cancel and how much notice they gave. Since its important to keep track of attendance and missed lessons for record keeping purposes, I think studio helper should allow studios the option to view past taken attendance notes.

    Currently you can only click on an event and you'll see a line through the student's name if they were absent or canceled. That's not enough info.

    Attendance notes are seen when you run the lessons taught report. Pick the different criteria and click show notes at the bottom. Your attendance notes are there.

  18. Make reversible lists for invoices

    Would like to be able to make a list of outstanding balances based on due date, and be able to see the most recent due.

    You can in fact see your most recent outstanding invoices and balances on the overview page. Click on overview in the top left corner. Also in reports, family accounts, will also give you outstanding balances as well as the money tab in each profile.

    This is not a suggestion. It actually does need to be fixed and has been sent to the programmers to fix. For things like this, please contact support instead of putting in a suggestion. Thanks!

  20. lesson notes on calender

    I'd like to have lesson notes feature. Be able to view calender, and click notes tab on each scheduled student to record or view lesson details.
