  1. Add a Total figure to the columns in the Invoice List

    When viewing the Invoice List (and utilising the helpful filtering), please add a Total Sum figure to the two columns; "Total" and "Bal. Due".

    I'm currently having to copy and paste the raw table (through multiple pages) into Excel, then cleaning up the copied data, all just to work out the total figure of the Balance Due.

    Adding a simple Total value(s) to the table can help visualise cash flow.

    I put this under review but the Total sum would need to be in the payments list not the invoice list. The invoice list is just a list of individual invoices and what is due for that invoice only. I can see a need for a balance due in the payments list that reflects payments against invoices. You can also use the statement to see a list of payments, credits and any outstanding(balances due) over several invoices.

  2. Rotating Student Schedules

    In the UK, Australia and NZ, school based instrumental lessons are based on rotating lessons every week. There is currently no software on the market that will do this and so we have to timetable manually. If you could add this feature, you would have an exclusive product in three huge music markets!

  3. Add message to emailed invoices and statements

    When emailing invoices or statements to clients, it would be terrific to have the option to add a personalized message into the body of the email prior to the message being sent. As it stands now, I constantly have to follow my invoice emails with regular emails from my email program explaining something about their invoice or statement, etc. But then my clients are getting 2 emails from me, which starts to feel spammy...

    You already have a note field in the invoices. And you can customize the invoice email template. The system templates are in people>mass email>system templates and to the invoice template. This template goes out with each invoice. Here you can put studio wide messages about invoices. The notes section on the invoice itself is for personalized. I will put this under review for a notes section in statements.

  4. Create ability to add multiple packages in calendar event

    It would be useful to be able to create multiple packages in the one calendar event with a particular student. In this case as a mobile tutor we need to add on a travel fee per student

  5. make alerts for students when they've been on the roster for a full year.

    Similar to the birthday alerts on the Overview screen, an alert for student 'anniversaries' would be very helpful to client retention! We try to give students some reward when they hit a year with us, and this feature would help ensure that we don't miss any! Thanks for considering.

  6. Show Teacher availability by the week

    In order to let students know when teachers are available to teach lessons during the week, it would be easier to visually see the teachers' availability for the full week on one screen.

    It could be a feature that must have only one teacher's schedule up at one time, but that would at least lead to a better way of communication for students. This also allows for a more clear representation to decide on make-up times.

    I’ll put this up for review. However, it is not feasible to have only one teacher up on the calendar at one. If you need that you can use the filters to the right hand side and unselect all teachers and then just select one and update. The teacher availability is under review but the one schedule at a time up is not.

  7. Notifications for Messages sent in an event

    If we can be notified by email when a student or parent comments on an event in the calendar that would provide better communication. Also to have an option for Students and Parents to email directly from the website or message teachers or studio admin that would be great.

    you can email from profile tabs….go into a profile and look for the tab email…there is a section there that the student or parent can email the administrator or teacher. I will mark under review for your other suggestion.

  8. Add a Mark as Sent feature to invoicing

    When sending invoices via e-mail, the system tells me the last time it was sent. Some of my students have not provided e-mail addresses and so I send them their invoices in the mail, but the system does not provide me with information about when I sent it. If there was a Mark as Sent feature, I would know when the paper copies were sent as well as the e-mailed copies.

  9. Add an option to allow certain staff to have administrator access

    There have been many cases in which our staff has encountered problems with "permissions" related to features that are not listed on the permissions page. I believe this can be solved if there were a way to allow certain staff all the same permissions as the administrator account.

  10. Make A Checkbox For Duplicate Info On The Registration Form

    When filling out the parent of a student on the registration form, often times there is duplicate information (email, phone, etc..). It would make it much more seamless if there was an option on the parents reg. form next to these boxes you could check that would carry this data over from the students registration.

  11. Separation between mass emails and mass texts

    When I send mass emails, Studio Helper puts all of the emails for each student together including the text mail. We should be able to select which one is used so we aren't sending out multiple emails and texts to the same person

    I’m not sure what you mean here. When sending mass email, you use the filters to choose which groups and people get the email. You can select all or you can individually select the recipients. If you have text email addresses in profiles as well as the regular email then they will get a duplicate. You will need to remove the text email address so they don’t get duplicates. That is not something that SH supports at the moment. In mass email history you will see who gets the email but each person gets the same email you created. If you need individualized emails, please use the email tab in your admin profile in the upper right corner and manually enter the email and/or text email of the person you need to send to.

  12. Enabling the option of sorting by balance column in the Family Accounts display

    It is often possible to change the display of a list by sorting it according to the column most crucial for our needs at the moment. But when viewing Reports > Family Accounts, it seems the clients can only be listed by the Client column (alphabetically) but I am not able to click on the Balance column so that the Family Accounts are sorted according to the Balance column. This would be very useful.

  13. Add total number of Active Student Classes in Overview

    under The Overview, please also show the total number of Active Student Classes. Now it only shows no.ofactive students. But as there are some students who takes multiple classes, it is helpful to have a glance of how many classes sign up.

    Is is possible to update the status of all family members of the a student at the same time the status of the student is changed.

    That is a good idea and something that we will consider during our next upgrades. I can see where this would be beneficial so that a family doesn’t get “separated” in the status area. We would have to make it an option though as some families will have multiple students in the family but not all active at the same time.

  15. Miss-Clicks deleting classes

    We have had several classes deleted in error, and not picked up on untill a teaches says their pay is short.

    When you click on a class in the calendar a dialogue box opens, At the bottom of the box are: EDIT, DELETE, CANCEL EVENT, [SPACE] to lower the instances of "miss-clicks" it would be helpful to reorder as EDIT, [SPACE] CANCEL EVENT, DELETE

  16. Allow the option to customize email templates with a pop up screen each time you send an invoice

    I think that it would be very helpful if when sending emails/invoices there would be a pop up screen that would allow you to customize the email template each time you send vs having to go into another screen to create a blanket email template. For example, when choosing to email from the invoice list it uses the current invoice email template - My current template for invoices is for invoices that are coming due - if I have past due invoices that I need to send reminders out for, I would have to go into a separate screen to…

    Thank you for your suggestion. However, I think a better solution would be to have a link to choose either the regular template that goes with an invoice or choose an overdue notification template. That way you wouldn’t have so many steps to do or if you forgot to change the original template back, they would not go out with wrong wording.

  17. Teacher and studio contact information needs to be available

    It would be great to have contact information easily accessible for parents. For example if their teacher showed up under people with the teacher's contact information including, email, phone number etc. It would also be great if under the studio name there was a place to add an email address, phone number, and physical mailing address. Currently it is difficult for parents to figure out how to email their teacher and there is no other contact information available to them other than that.

    Thank you for the suggestion. We would have to review this because many do not want that information available. The students have an email tab in their profile and if they click the teacher’s name the email box will come up so they can email the teacher. If the teacher wants to give out that info they can. That’s how it works for now.

  18. Show event category in Schedule tab of Profile

    Within the Profile pages, under the Schedule tab, it would be very useful to see the category of upcoming events. It's impossible to know whether the event listed is a class, make up, canceled, etc. And for teachers who don't have calendar editing permissions, they cannot click the event to see the details from that screen.

    I know that it's possible to see event categories in the Agenda view of the calendar, but including it on the Profile Schedule would be useful for several groups and circumstances.

  19. Put in Purchase Orders which can be turned into invoices.

    85% of my business requires net 30 from me and use purchase orders.
    Sometimes with Holidays and cancelations, the purchase orders are NOT the same as attendance. I would like to be able to create purchase orders that then align with attendance to insure correct billing. Purchase orders would then convert to invoices. Thank you for your consideration.

  20. Additional Information on System Templates

    Suggest adding information in the blue ? box for system templates that even if you have the information between the % signs typed as it appears (lower/upper case and no spaces), that you also cannot apply any formatting such as bold, italic, hyperlinks, etc.
